Reports from those committee chairs present followed.
Louse Orr, chair of the Wine Tasting Committee, reported that the wines had been chosen and that Felipe Motta would be offering discounts rather than free wines. She proposed that only those persons attending the Wine Tasting be eligible for attendance at the Live Auction, i.e., that attending only the Auction for $5 be eliminated. We can increase the number of persons paying $20 and use both rooms for the function, she reasoned. There was confusion last year caused by the two separate groups, very little money earned from the $5 attendees, and cramped space for the wine tasting. Following discussion, the group agreed to this plan.
Betsy Waddington, chair of the Raffles Committee, asked whether she was required to locate items for raffle or whether we would be raffling donated items. Penny explained that one raffle would be a 50/50 one for which no items was needed. An item or items raffled during the wine tasting most likely would come from donated items. But she asked that Betsy try to find the donation of one practical item such as a washing machine, a generator, etc., for raffling on Sunday.
New volunteer John Cole was recognized; he indicated that he had been asked by Jim Pierce to serve on the Live Auction Committee.
Turning to the issue of tables and chairs, for which the Lions Club is responsible, it was noted that only tables were rented last year as chairs were available from various sources in the town. The Handicapped Foundation has 60 chairs, Penny said, BCP has 60 chairs, and the municipality has 50. She said she would obtain from Martine the number of tables rented last year.
Susan Bostrum, chair of the Children’s Activities Committee, reported that she would use the equipment put together by last year’s committee. It was noted that the wooden cutouts which had Christmas themes would need to be repainted to reflect this year’s Valentine’s theme.
Elizabeth Worley, Publicity chair, advised that the first notices were going out. She noted that there are fewer media outlets this year than last.
Other committees reported general progress. Bonnie Williams advised that she would be asking the Garden Club to donate funds for the purchase of pots of soil to be used by persons donating plants. Carol Cardinale Santana said that she would have bags of soil available for purchase.
Penny encouraged volunteers to use the website to download solicitation letters and forms, explaining where they were to be found. There was discussion that these essential documents were hard to locate on the B4B website because they all are contained under a general download link. Penny said she would ask Fran if this could be made clearer and more user friendly.
The next scheduled general volunteer meeting will be on Monday September 19th, again at 2:00 p.m. at The Oasis.
